Privacy policy

This text is a draft. Details in brackets will be completed.
This policy explains which data Telkens processes, why we do so and which rights you have.
Who we are
Telkens is provided by Mikedegroot.dev, Pastoor Wassenbergstraat 18, Chamber of Commerce [to be completed: Chamber of Commerce number]. Mikedegroot.dev is the controller of your data. You can reach us at legal@mikedegroot.dev.
Which data we process
We only process the data that Telkens needs to work:
- Account details: your name, email address and language. We only store your password hashed, so nobody can read it back.
- Data in your workspace: tasks, occurrences, instructions and who did what and when.
- Waiting list: your email address, after you confirm your sign-up through a link.
- Contact form: your name, email address, company name and your message.
- Technical data: session and security data, such as your IP address, and error reports.
- Payments: if you take out a paid subscription, your billing details. Your payment details themselves are processed by our payment provider; we never see them.
- Usage statistics: which pages you visit and, when you are logged in, your name and email address. You can read more about this under Cookies and statistics.
What we use your data for
We use your data to:
- provide the service and handle your subscription;
- secure your account and track down errors;
- see how Telkens is used, so we can improve it;
- answer your message sent through the contact form;
- tell you about the launch, if you sign up for that.
Cookies and statistics
We only use necessary cookies: to keep you logged in and remember your language. We keep statistics with Umami, which we run ourselves on our own server. Umami sets no cookies and that data does not go to other parties.
Who we share data with
We do not sell your data. We work with these processors, who only receive the data they need for their task:
- Hetzner: the servers that run Telkens and its database.
- Ploi: management and deployment of those servers.
- Mijn.host: our domain name and DNS.
- Resend: sending emails, such as invitations and password resets.
- Vatly: payments, invoices and VAT handling.
- Laravel Nightwatch: error reporting and performance monitoring.
Data outside the EU
Some processors, such as Resend and Laravel Nightwatch, may process data outside the European Economic Area. This only happens with the safeguards the GDPR requires, such as the European Commission's standard contractual clauses.
How long we keep data
We keep data no longer than needed:
- Account details and workspaces: as long as your account exists. When you delete your account, we erase your personal data right away, along with the workspaces where you are the only member. In shared workspaces the history stays, without your name.
- Invoices and payment records: 7 years, because the law requires it.
- Messages sent through the contact form: up to 12 months after our last contact.
- Waiting list: until you unsubscribe.
- Log files, error reports and backups: at most 30 days.
- Usage statistics: at most 2 years.
Your rights
You may access, correct or delete your data; you can also delete your account yourself. You can also ask us to restrict processing, have your data transferred and object to processing. Send your request to legal@mikedegroot.dev. If you disagree with how we handle your data, you can file a complaint with the supervisory authority; in the Netherlands that is the Autoriteit Persoonsgegevens.
Changes
We may change this policy. We will let you know about important changes. The date at the top shows when the text was last updated.
